Retail and commercial bank · Italy · member of a European banking group, internal investment portfolio of €30-40M
A ServiceNow Investment Portal for an Italian Bank's Leadership
The bank had €30-40 million in internal investments but nowhere the CEO could look to see where that money had gone. The data lived in ServiceNow modules made for project teams, and each status update meant chasing a function that replied in its own format. Today every initiative, with its funding, state and progress, is on a single executive page within the bank's own ServiceNow.

01
The challenge
The client is a large retail and commercial bank in Italy and a member of a European banking group. It manages its internal investment initiatives in ServiceNow, a portfolio worth roughly €30-40 million.
Data was not the problem. A view for executives was. The projects were all in ServiceNow, but inside modules built for the teams delivering them, not for a CEO getting ready for a board discussion.
Why it mattered
- Nobody could quickly say "where did the money go". No single view showed how each initiative was funded, what the money was spent on and how far along it was.
- Records made for operators. The information leadership wanted was buried in operational forms that no executive would ever open.
- Status meant chasing. To build a progress picture, someone asked each function in turn, and the answers arrived in a different format every time.
- Difficult to explain to the board. Without a clear page for each initiative, leadership struggled to give regulators or the board a quick account of any one investment.

What we did
For the CEO and the rest of the C-level, we created a bespoke executive portal, designed and developed within the bank's existing ServiceNow. It shows every internal investment initiative with its state and progress, using the data project teams already keep up to date.
The build
- Custom work on ServiceNow. We developed our own ServiceNow modules plus a separate AngularJS portal page, so the portal lives on the same platform as the data.
- A page for each initiative. Every investment in plain terms: what it is, how much went in, where the money was spent and how the project is run.
- Progress in one look. State and progress for each initiative, with navigation made for executives instead of project managers.
- Input from the functions. The bank's various functions provide custom reporting, linked to the investments it concerns.
- Nothing new to run. The portal reads existing ServiceNow data directly, so there is nothing to re-key, export or synchronise.
Built to be read, not filled in
Without one click into an operational form, an executive page must answer four questions: what is it, how much does it cost, where was the money spent, and is it on track. Most of the design effort went into that reading experience: deciding what to show, in which order, and what to keep in the operational modules for the teams running the projects.

The outcome
The CEO opens a single portal and finds each internal investment initiative there, with its purpose, its cost, the use of the money and its progress.
| Before | After | |
|---|---|---|
| Executive view of the portfolio | Did not exist, data scattered over operational modules | A single portal covering €30-40M of initiatives |
| Explaining a single investment | Assembled from several sources | A dedicated page per initiative |
| Updates from the functions | Chased manually, in a different format each time | Reported into the same portal |
- Around €30-40 million of internal investments are visible to the CEO and the C-level in a single place.
- Funding, use of money, state and management are shown for each initiative and are simple to explain.
- The functions report into this portal rather than into separate files.
- There is no extra system to look after: everything runs on the bank's own ServiceNow.
We did not record time savings or usage figures on this engagement. The numbers above describe its scope.
Where executive dashboards break
They fail once they turn into a second source of data. Someone maintains a spreadsheet for the CEO, it slowly diverges from the real project records, and the first question from the board shows the gap. Because the portal sits directly on the records project teams already maintain, and the functions add their reports in the same place, there is only one version of the truth.
